Getting Started

How do I get access to Digital Gallery?

Digital Gallery is invite-only. Access is granted exclusively by a SHAR Group administrator. If you need access, please contact your manager or system administrator. You will receive an invitation email with a link to set up your account.

I received an invitation email. What do I do next?

Click the invitation link in your email. It will open the app and prompt you to set a password. Choose a strong password (minimum 8 characters), confirm it, and your account will be activated. Invitation links are valid for 7 days — if yours has expired, ask your administrator to resend it.

What devices and browsers are supported?

The web application works on all modern browsers (Chrome, Safari, Firefox, Edge). The mobile app is available for Android devices. A minimum screen resolution of 360×640 is recommended for the best experience.

Account & Login

How do I log in?

Go to the app and enter your email address and password on the login screen. If you have not yet set a password, you need to accept your invitation first (see "Getting Started").

I forgot my password. How do I reset it?

Password reset is managed by your administrator. Please contact SHAR Group support at support@sharevision.in and an administrator will issue you a new invitation link to reset your credentials.

How do I update my name or email?

Profile updates are managed by administrators. Please contact your system administrator or email support to request a change to your account details.

Why has my account been deactivated?

Accounts may be deactivated if you are no longer associated with SHAR Group, if a violation of the Terms of Service was detected, or if an administrator has suspended access. Contact support for clarification.

Can I use the same account on multiple devices?

Yes. You can log in on any device (web browser or mobile app) using your email and password. Your session is tied to the device, so logging in on a new device does not log out your other sessions.

Uploading Media

What file types can I upload?

The following file types are supported:

  • Photos: JPEG, PNG, WebP, GIF
  • Videos: MP4
  • Documents: PDF

What are the file size limits?

The maximum file size per upload is:

  • Photos: 25 MB per file
  • Videos: 100 MB per file
  • Documents: 10 MB per file

Files exceeding these limits will be rejected at upload.

Why is my upload showing as "Pending"?

Uploads by standard Users require review and approval by an Administrator or Superadmin before they become visible to others on the platform. This is normal. Once approved, your media will appear in the relevant event or media library. If your upload has been pending for a long time, contact your administrator.

Can I upload to a specific event?

Yes. When uploading, you can optionally associate media with a specific event. If no event is selected, the media is stored as a general import in your media library.

I have reached my upload limit. What do I do?

Standard User accounts have an upload quota set by your administrator. If you have reached your limit, contact your administrator to request an increase.

Can I delete media I have uploaded?

Yes. You can delete media you have uploaded at any time. Deleted media enters a 30-day grace period during which it can be recovered by an administrator. After 30 days, it is permanently deleted from our storage systems.

Events

What is an Event?

An Event is a collection of media organised around a specific occasion, date, or activity (e.g., a company meeting, site visit, or annual function). Events are created by Admins or Superadmins and can have photos, videos, and documents associated with them.

How do I view photos from an event?

Navigate to the Events section from the main menu. Browse or search for the event you are looking for, then tap or click on it to view all associated media.

Who can create or edit events?

Only users with the Admin or Superadmin role — or Users who have been explicitly granted event creation permission — can create and manage events.

Can I add media to an existing event?

Yes, if you have upload access, you can add media to existing events. Standard Users may need their uploads approved before they appear in the event.

Galleries

What is a Gallery?

A Gallery is a curated collection of media that can be shared with people outside the app via a secure, public link. Galleries are useful for sharing selected photos or videos from an event with external stakeholders.

How do I share a gallery with someone outside the app?

Open the gallery and copy the Share Link. Anyone with this link can view the gallery — they do not need an account. You can also set an expiry date for the link if needed.

Who can create galleries?

Admins and Superadmins can create galleries. Users may be granted gallery creation permission by their administrator.

Can I control which media appears in a gallery?

Yes. When managing a gallery, you can add or remove individual media items and set their display order.

Can a shared gallery link expire?

Yes. When creating or editing a gallery, you can set an expiry date. After that date, the public link will no longer work. You can also deactivate a gallery link manually at any time.

Roles & Permissions

What are the different user roles?

User

Can view media, upload media (if permitted), and view events and galleries they have been granted access to.

Admin

All User permissions, plus: create and manage events and galleries, approve or reject media uploads, invite and manage User accounts.

Superadmin

All Admin permissions, plus: manage Admin accounts, approve account deletion requests, and full system access.

Why can I not see certain events or galleries?

Access to specific events and galleries is controlled by your administrator. If you believe you should have access to something that is not visible to you, contact your administrator.

How do I get permission to create events or galleries?

Contact your administrator. Admins and Superadmins can grant individual Users the ability to create events or galleries.

Account Deletion

How do I delete my account?

Go to your Profile screen (bottom tab on mobile, or the user menu on web) and select "Request Account Deletion". Your request will be reviewed by a Superadmin. Upon approval, your account and all associated personal data will be permanently deleted.

What happens to my data when my account is deleted?

Upon account deletion, all your personal data is permanently removed — including your name, email, and audit history. Media you uploaded will be removed from storage after the 30-day retention period. Events and galleries you created are reassigned to a system administrator to preserve organisational records.

How long does account deletion take?

Deletion requests require approval from a Superadmin. Once approved, deletion is processed immediately. If your request has not been actioned within a few business days, contact support.

Can I cancel a deletion request?

Yes. If your deletion request has not yet been approved, you can cancel it from within the Account Settings section of the app.
